BlackRock Administrative Assistant

We are seeking an Administrative Assistant to provide support for the Legal and Compliance team. The role of the Administrative Assistant will be to act as the 'right-hand' support to two attorneys and two paralegals. The Administrative Assistant will also provide periodic support to the other Administrative Assistant as well as other team members as necessary. The ideal candidate will be experienced in handling a wide range of administrative tasks and will be able to work well independently as well as in a team environment. The candidate must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting multiple professionals.

Key Responsibilities

  • Organizes multiple transaction-related documents and shepherds documents through closing process with guidance from fund attorneys
  • Manages and processes a large volume of legal billing
  • Produces minor legal documentation based on templates
  • Manages large regulatory/administrative tracking processes involving multiple inputs and stakeholders
  • Proactively manages calendars and organizes meetings across multiple time-zones including organizing all meeting details (VC, materials, conference rooms, etc.)
  • Filters through requests independently and follows through on behalf of managers, when necessary
  • Completes ad hoc administrative requests in a timely and thorough manner
  • Provides support to the team's other administrative assistant on team tasks and to provide seamless back-up administrative support and coverage


Skills

  • At least 2 years of administrative experience required; experience supporting transactional attorneys or in the financial services industry is preferred
  • Adapts well to changing plans and priorities; multi-tasks well; deals comfortably with ambiguity
  • Demonstrates sound judgment and ability to reach decisions independently; focused on understanding the bigger picture, i.e., results oriented, rather than task oriented
  • Ability to work independently and assume additional responsibilities as required
  • Demonstrates professionalism and a positive customer service attitude
  • Maintains focus with sense of urgency, while upholding respect for others
  • Excellent written and oral communication skills
  • Strong computer skills (MS Office Suite); expert knowledge/user of Outlook and Word required (duties will also require use of Excel, Visio, Adobe Acrobat and redlining software)
  • Hummingbird/DocsOpen/OpenText experience preferred but not required
  • Careful attention to detail, even when working at a fast pace
  • Maintains strict confidentiality standards
  • Ability to work a flexible schedule and overtime as necessary
