Executive Support Assistant - Group CIO Office
Reporting into the Executive Assistant to the Group CIO, this role provides support to the Group CIO Office. Activities will include event management, travel, administration, systems and relationship management across both internal and external business partners. This is a unique role, where you will also be asked to act as delegate when required for the EA to the Group CIO as well as provide relief Executive Assistance cover for the GroupTech General Managers. This role requires someone who can easily adapt.

How will you contribute
  • Diary management and prioritising schedules for the Group CIO and Chief of Staff, including coordination of meetings / conference and preparation of agendas, documents and presentation material
  • Provide relief Executive Assistance cover to the GroupTech General Managers
  • Arranging domestic and international travel schedules
  • Managing expense/compliance reporting processes for Group CIO Office and Leadership Team
  • Assist with event planning and management across the team as required
  • Prompt handling of internal and external stakeholder requests
  • Arranging domestic and international travel schedules
  • Composition of correspondence and updating and managing Knowledge Management tools such as team intranet and SharePoint sites
  • General administrative duties, including processing travel and business expenses, reviewing staff reimbursements and allowances for the Leadership Team, reviewing and coordinating payment of accounts - ensuring that these are within policy.
  • Effectively handle, escalate and follow up internal customer compliments, issues and complaints.
  • Review prepared claims for office equipment such as vehicles, IT hardware etc. and investigate those outside of expense policy and discuss with delegated authority as required.

Experience required to succeed
  • Minimum of 5 years' experience at level
  • Advanced PC literacy (MS Office: Word, PowerPoint, Excel)
  • A self-leader with the ability to make decisions
  • Knowledge of Westpac systems, policies and processes ideal though not required
  • Ability to work autonomously and as part of a team, liaising with all levels of the Business and our customers, building strong working relationships
  • Excellent influencing skills
  • Strong organisational, problem solving and communication skills
  • Effective business writing skills
