Legal Administration Assistant - Part Time Opportunity

Overview

Susquehanna Pacific Pty Limited (a member of the Susquehanna International Group of companies) is currently in search of a dynamic and enthusiastic part time legal administrative assistant to perform a variety of administrative functions including file and document management and general administration duties to join our Legal team on a part time basis. A minimum 4 years' experience working in a comparable role, ideally including experience in a corporate, in house legal role. A background in financial services or trading would be highly regarded.

Your Daily Responsibilities will include:

  • Legal document management, including maintaining executed contracts
  • Legal Contracts Database management, including uploading agreements and liaising with data base administrator (in Bala) if required
  • Responsible for maintaining and updating the monthly legal team reports
  • General administration including processing invoices for payment, tracking Legal team expenditure and expense claims and filing
  • Updating procedure manuals and maintaining various internal documents (including company director charts, external counsel lists, transactional documents)
  • Maintaining the Legal teams' files - both electronic and paper
  • Compiling transaction bibles (both hard copy and electronic versions)
  • Archiving (both electronic and hard files)
  • Proof reading, tracking and formatting complex legal instruments and documents, creating organisation charts, using document compare and cross referencing within documents
  • Liaising with business teams on ongoing files and transactions
  • Managing legal team journals and other subscriptions
  • File and email management
  • General administrative duties, including answering and taking phone messages (when Legal Counsel not able to answer phone)

What we're looking for
  • Self-starter
  • Ability to work autonomously
  • Experience in marking up documents and tracking changes
  • Document management (both paper and electronic) and archiving
  • Microsoft office suite expertise (including excel and powerpoint)
  • Experience with Worldox document management system highly regarded (although not essential)
  • Excellent verbal and written communication skills
  • High attention to detail
  • High level organisation skills
