Receptionist and Admin Assistant


  • Perform full spectrum of receptionist duties including greeting visitors, handling incoming calls, courier and meeting arrangement;
  • Set up finger print for new hire and terminate access rights for leavers or loss card;
  • Keep record of visitors pass.

Office Maintenance:
  • Manage office equipment and facilities maintenance (e.g. newspaper or magazine ordering, water, coffee machine, lighting, photocopiers and shredder etc.);
  • Maintain office, company stationery and pantry supplies replenishment;
  • Business cards order for employees when necessary.
  • Process expense claims, handle travel arrangement, assist for meeting arrangements for management.
  • Handle any ad-hoc requests by Manager

Company Events and Ad-hoc Project:
  • Provide support in all company events e.g. Passion Day, Town Hall Meeting, Team Building Activities, etc. including but not limited in:
    - Festival gifts preparation to staff & hampers ordering for clients on request;
    - Pictures taking for events and send to GC Admin team for newsletter content;
    - Catering service to management, guests, employees for meeting and company events when necessary;
    - Facilitate in all staff activities e.g. Passion Day, Company Family Day, Christmas Party etc.
  • Handle any ad-hoc requests by manager.

Business Travel Arrangement and Expenses Claims Record:
  • Back up Handle business travel including ticket and hotel reservations or transportation arrangement employees, prepare TRF and cost summary for traveller's line manager approval when necessary;
  • Confirm the booking with travel agency and hotel and provide support when there is any issues or updates;

Support to Finance
  • Update environment and energy data report monthly for SH office
  • Finance update and invoices scanning for payment run to all service vendors;
  • Raise procurement requisition in Oracle system for all regular admin operation;
  • Printing and mailing out invoices to clients for BU.

  • Good command of written and spoken English,
  • 3 years relevant working experience in receptionist and office admin
  • Well-presented with a cheerful and friendly personality;
  • A committed, responsible team player, helpful, proactive and able to work under pressure;
  • Proficient MS Office software operating skills.
  • Working knowledge of email, scheduling, spreadsheets and Office software.
