LOCAL CONTRACT ADMINISTRATIVE ASSISTANT H/F
Which team are you joining?
The "Administration Assistant" will be based at AFD office in Colombo. He/she will report to the Country Director for Sri Lanka and will work in close liaison with relevant officers based at AFD office in Colombo. What will be your role?
Purpose The Administrative Assistant will be overall responsible for office administration and extending logistical support to Country Director, Project Managers and other staff of the office. Necessary coordination and logistic support will be extended for organizing the missions and travel arrangement. The Administrative assistant will also take care of the cash register and cash reconciliation.
Organize the office layout, maintaining office conditions and providing necessary resources to Country Director and Project Managers necessary for the performance of duties and implementation of projects;
Maintain office services by organizing office operations and procedures;drafting, editing and controlling correspondence; designing filing systems; managing mailing or distribution lists as needed; procurement and provision of office supplies, coordinate the maintenance of office equipment;
Organize and coordinate duties of administrative staff including housekeeping staff, drivers and provide necessary support for organizing mission;
Prepare travel requests and ensure provision of logistical support for smooth and effective organization of missions;
Coordinate and schedule meeting with relevant Government officials and AFD partners specifically for AFD Mission visiting Sri Lanka from Paris in coordination with the Project Assistant.
Assist Country Director and senior management in communication with relevant local counterparts including government departments and AFD partners.
Monitor and record petty cash expenses and update the cash register
Will perform any other task or responsibility as requested by the Country Director according to specific or unforeseeable needs. Who are we looking for?
At least Master degree in any relevant subject and minimum three years of experience in office management and administration.Experience of working with development organization will be of added advantage.
Strong communication and drafting skills with fluency in English;
Knowledge of French would be a strong asset;
Well- organized and good interpersonal skills;
Knowledge of office administrator responsibilities, systems and procedures;
Excellent time management skills and ability to multi-task and prioritize work;
Basic knowledge of bookkeeping;
A creative mind with an ability to suggest improvements;
Problem- solving and critical thinking skills;
Teamwork and collaboration skills;
Strong work ethic.
