Position Purpose

Provide secretarial and administrative support for the Regional Head of CIB ITO / Deputy Chief Operating Officer (COO) for Asia Pacific

Responsibilities

Direct Responsibilities
• Perform standard & complex secretarial duties to support the assigned Business Units
• Preparation of documents and presentation materials when required. Proof material for errors and ensure layout is in line with the Bank's style
• General administration support to the assigned Business Unit, depending on demand and in full coordination with the other Executive Secretary
• Handling of internal and external correspondences. Maintenance and filing of documents
• Collect information needed by supervisor for conferences, meetings and reports
• Schedule and co-ordinate meetings and facilities which may include travel and lodging arrangements
• Receive, handle and transfer phone calls and messages within the department promptly and courteously. Visitor reception and telephone screening
• To assist with administrative requirements of internal and external visitors (incl. for colleagues from Paris HO)
• Other ad hoc / additional assignments when required
• To work and coordinate activities with people across multiple offices, geographies and time zones

Contributing Responsibilities
• Contribute to the operational permanent Control framework
• Contribute to the implementation of operational permanent control policies and procedures in day-to-day business activities
• Comply with regulatory requirements (if any) and internal guidelines

Technical and Behavioral Competencies required

• Computer literacy, in particular well versed in Outlook, Word (English and Chinese) , Excel, PowerPoint
• Well organized and work independently
• Good inter-personal skills, communication skills and must be a team player
• Fluent spoken and written language of English and Cantonese
• General knowledge of banking operations would be a plus
• Able to work under high pressure with efficiency and able to prioritize in order to deliver in a timely manner

Experience and Qualifications required

• At least 8 years of relevant experience in serving senior management or top executives in banking industry or financial services;
• Formal secretarial training
