We are currently seeking a high caliber professional to join our team as Personal Assistant.

Principal responsibilities

  • Perrform standard, advanced, and sometimes confidential secretarial and general office duties including transcription and record and file maintenance
  • Diary management for the Global Head of Events and the Group Head of Strategy and Planning whilst in Hong Kong
  • Maintain expenses records and to arrange expenses claim for the Global Head of Events and her team members in Hong Kong
  • Screen and handle the daily calls and inquiries of the manager, responding independently to routine issues and questions
  • Manage or assist in the creation and maintain of the departmental Business Recovery Plans and update where necessary
  • Assist with monthly and yearly processing of information received from business units and departments
  • Support on Human Resources administration and recruitment process on behalf of the Global Head of Events and her direct reports using different systems
  • Maintain appointment calendar and schedule meetings and travel arrangements
  • Assist in event planning and execution where needed
  • Be responsible for supplies and arranging maintenance of office equipment and for offsite events
  • Assist in the preparation and control of records, statistics and reports regarding operational, financial, and personnel changes, while maintaining confidentiality.


Qualifications
Requirements
  • ​Proven experience in a senior administrative support role, preferably with the HSBC Group or a recognized multi-national
  • Broad understanding of the Group structure and capacity to find the right person globally to get tasks done
  • Ability to work with senior managers across the Group
  • Excellent keyboard skills with a high proficiency in MicroSoft Office including Outlook, Word, Excel and Power Point
  • With strong common sense and attention to detail
  • Professional and confident telephone manner
  • Effective communication in both written and oral and interpersonal skills
  • Work under pressure and have ability to prioritise and multi-task
  • Confident decision maker and problem solver
  • Excellent planning and organisational skills
  • Flexible approach to working environment and working hours
  • Proactive, enthusiastic and self motivated
  • Work under limited to minimal supervision.
