1. Provide comprehensive and quality secretarial support for your senior executives; 2. Ensure a high level of client service and seamless liaison with all colleagues (including HK and PRC offices)
Key Responsibilities
- Manage and follow-up closely on the daily schedule of your senior executives
- Handle extensive travel arrangement such as business trip visa, flight and hotel booking and expense processing
- Deal with external and internal clients in a pro-active and professional manner
- Arrange and coordinate meetings, appointments, interviews, etc
- Sit in business meetings and take minutes, whenever necessary
- Prepare presentations, proposals, correspondence, reports, etc.in a timely manner
- Translate documents from English to Chinese or vice versa, whenever necessary
- Ensure to keep all clients lists and internal records up-to-date
- Maintain a proper and systematic filing system
- Handle any ad-hoc projects assigned
- Cover other secretaries, whenever necessary (especially during leave)
- Attend and take all relevant compliance and risk training; fulfill all compliance responsibilities as required for the job; participate in raising risk awareness in the department; comply with regulatory requirements and internal guidelines; and contribute to the reporting of all incidents
Qualification
- Tertiary education
- Formal secretarial training
- Minimum 3 years’ relevant secretarial experience, preferably with investment banks exposure and serving senior management
- Excellent command of written and spoken English and Chinese (including Putonghua)
- Proficient in computer – Microsoft Office (Word, Excel, PowerPoint, etc.) and excellent in Chinese word processing
