Based in Hong Kong & reporting to the Head of department, the role will provide administrative and secretarial support to senior executives with the team and close co-operation with a number of key stakeholders across GM and FIC (globally and regionally).

Our client, a Tier 1, international corporate and investment banking client, is looking for an immediately available Secretary to join the team for a 6 month contract. 

Based in Hong Kong & reporting to the Head of department, the role will provide administrative and secretarial support to senior executives with the team and close co-operation with a number of key stakeholders across GM and FIC (globally and regionally).

 

Key Responsibilities

  • Provide confidential secretarial support and manage the Head’s diary and schedule, arrange meetings, conference calls and video conferences on his behalf.
  • Responsible for all administrative and secretarial duties of the teams assigned.
  • Manage travel plans (i.e. flight tickets, hotel bookings, restaurant bookings, etc) for the Head and other members of the team. This includes planning of travel routes with the best fare options in liaison with corporate travel agents, depending on the outward bound location of the individual.
  • Assist members of the team with the preparation of proposals, PowerPoint presentations, etc.
  • Input travel expense claims into the system and follow-up on travel re-imbursement claims and settlement of cash advances for each member of the team.
  • Manage and maintain office correspondence and filing system.
  • Liaise with Personal Assistants / Secretaries in the local and other Regional Offices in relation to meeting schedules, workshops and videoconferences.
  • Assist in organizing client events.
  • Manage Leave Planner and maintain and reconcile leave records for members of the team.
  • Monitor and manage office supplies procurement.
  • Undertake ad-hoc administrative duties and follow-up as assigned by the Head.

 Essential Skills

  • 3-5 years of secretarial/executive assistant or related experience from top tier investment bank
  • Hard working, motivated, logical and well organized
  • Able to work under pressure and to tight timeframes
  • Proficient in Microsoft Officer including Excel and PowerPoint and calendar management
  • Strong English communication skills, verbal and written. Mandarin language skills will also be highly regarded
