Senior Associate, Leadership Development and Talent

Being a member of the Leadership Development, Talent and HR Governance function within Human Resources, the incumbent will execute effective administrative and operational processes to support driving initiatives, events, programs, and uplifting talent management & development processes. The incumbent will ensure the delivery of assignments and job tasks efficiently and timely, based on the established guidelines and procedures. The incumbent needs to demonstrate superior operational excellence in core processes for talent acquisition, learning, talent management and development.

Roles & Responsibilities:

Event management:
  • Responsible for managing all internal and external leadership and talent programs and events of all sizes. Handle end-to-end event planning and implementation including venue, decoration, seating, dining, speakers/guests list, and post-event administration and follow-up.
  • Manage the logistics of multiple events simultaneously. Liaise with responsible parties to understand their needs to ensure customer satisfaction. Responsibilities include meeting with vendors/organizers to work out event details, plan/scout/ book venues/food/cleanup.
  • Manage and oversee events on the day, including problem-solving, welcoming guests, directing event set-up, communicating with staff, vendors, and managing take-down. Coordinate post-event activities such as surveys, interviews, and focused groups.
  • Ensure compliance with insurance, legal, health, and safety obligations.

Staff learning and development programme
  • Create learning campaigns and direct enrolment traffic to Workday. Maintain an up-to-date learning content and under guided instruction from superiors. Monitor learning enrolment, prepare communication messages to participants, and timely keep track of learning records.
  • Administer New Employee Orientation (NEO), mandatory online training enrolment, track attendance record before, during, and after the class. Remind employees to complete mandatory training before the deadline. Timely escalate the outstanding cases to relevant parties.
  • Handle IA/CPD Training / Licence requirements. Liaise with external training vendors and Internal Compliance and Department Contact Points. Mass communication on enrolment and declaration. Attendance tracking/ send reminders. Consolidate training enrolment/attendance record
  • Handle company sponsorship and professional membership application, validate the submission. Handle LOMA company ID and test ID for company discount. Handle special requests on Internal Audit requirements for Insurance Intermediaries Qualifying Examination (IIQE) paper application. Grant professional membership quota.
  • Compile status and statistical reports on all learning and development concerns.
  • Provide regular company sponsorship reimbursement payment reports.
  • Other ad hoc projects and tasks as assigned.

Talent Acquisition
  • Administer career page in key job boards. Liaise the placement, contracting, renewal, billing of job boards, search firms, and recruitment-related vendors.
  • Liaise with vendors on visa handling for non-HK resident employees.
  • Handle recruitment campaigns and events based on business needs, e.g., Social Media/ Employer Branding campaigns, Career Fair and Internship Programmes, etc.

  • Support Workday learning, performance and talent modules / enhancement by participating in UAT under guided instruction. Assist in process system workflow operation after go-live.
  • Handle payment (PO/non-PO) and vendor management. Maintain vendor details and onboard new vendors. Keep track of expenses for the function. Comply with the procurement process and keep documents and material inventory up to date.
  • Attentive to the value of staying under budget while planning event specifications. Maintain up-to-date expense records.
  • Responsible for training rooms and equipment maintenance and stock replenishment.
  • Handle other Human Resources projects as assigned

Minimum Job Requirements:
  • University/College graduate with at least 3 years related work experience
  • A team player, self-motivated with customer service mindset
  • Proactive to resolve problems in a fast-moving industry
  • Strong co-ordination skills and highly organized
  • Able to multi-task with high attention to detail
  • Proficient in MS Office applications including EXCEL, PowerPoint and Chinese word processing
  • Good command of spoken and written English
  • Obtain relevant license if the job involves in regulated activities
