The executive assistant to the Chief Executive Officer (CEO) has the responsibility of providing high-level, confidential administrative support to the office of the CEO and to the Management Team. Duties are clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with CEO and the Management Team to support the Supervisory meeting preparation.

Key Responsibilities/Accountabilities:

Functional: (role-related responsibilities)

  • General Administrative Tasks:
    • general office: duties such as organizing and maintaining files, answering phones, purchasing supplies and operating office equipment including kitchen supplies, maintenance of petty cash, couriers
    • arrange conference calls and meetings
    • make travel arrangements for the Staff and the Directors
    • compose correspondence
    • minute taking and transcriptions
    • review memos and reports  
    • conduct research  


Support the Business Manager and the Management Team (time to time):

  • Supervisory committees’ agenda, packs administration and upload into the system,
  • minutes recording and transcriptions,
  • on-boarding of new supplier and Third Party risk assessment
  • maintenance of the CEO calendar and Compliance/Board meeting calendar,
  • event organization,
  • Orga chart and Orgabook periodical update.

Competence and Capability

This position is often privy to confidential information and as such, requires diplomacy and discretion:

  • University Degree;
  • strong knowledge of MS Office tools including excel (i.e. pivot tables, etc.) word, outlook and power point;
  • good typing skills, proficiency in grammar, spelling and writing, many vocational schools and community colleges offer 1-2 year programs in office administration;
  • good communication and organisational skills;
  • High level of confidentiality is required
  • business English spoken and written.
