We are currently looking for an assistant providing support duties and business travel administrator for the Management Team of GCRO department in Milan. She/he will provide administrative and travel management support for the Management Team, as well as administrative support. Furthermore, she/he will also serve as back up assistant to the entire GCRO team on Milan site.

 

Main tasks 

  • Maintain calendar, email, and tasks for the Management Team 
  • Assist with communication and direction to all direct reports of Management Team 
  • Coordinate on-site and off-site meetings and events 
  • Handle general correspondence (letters, memos, reports) 
  • Coordinate complex travel arrangements national and international 
  • Manage expense recovery through Italian SAP systems 
  • Purchase and apply for technical support and office supply 
  • Maintain and/or create tracking for team calendar, whereabouts 
  • Arrange events, booking, travel coordination, etc. 
  • Provide office reception 
  • Invoicing by using Italian SAP system 
  • Develop/Provide meeting materials and binders 
  • Assist with maintaining and troubleshooting office equipment and logistics 

The ideal candidate will meet the following requirements:

 

Must have

  • Advanced soft skills and capacity of interaction with people
  • Ability to deliver high quality results in a high pace/ high pressure environment
  • Being flexible
  • Fluent in English
  • Excellent knowledge of MS Office Products (Word, PowerPoint, and Excel)

Nice to have

  • Knowledge of other foreign lenguage
  • Previous experience in working for complex and innovative projects
