Position: Management Company Operations Supervisor Department: Global Distribution Reports to: President & Co Head Purpose Our client is looking for a fund industry savvy candidate that will use discretion and judgment to support the Conducting officer and Lux Management team with projects and deliverables needed to carry out their responsibilities. This candidate will provide the COs and Management Team in Luxembourg relevant Management information focused on the efficient functioning of the Management Company and its respective branches. Additionally, you will monitor ongoing regulatory programmes to ensure the continuing smooth operations of our client within a compliant, efficient and client-friendly manner.



  • Plan, implement and manage the collection, compilation and analysis of qualitative and quantitative information for the COs to deliver on their mandate.
  • Support the COs  in Luxembourg in providing relevant Management Information (e.g. KPIs) and focusing on the efficient functioning of the Management Company and its branches
  • Assist CO's in defining, implementing and upholding effective oversight standards. Ensure  materials are relevant, consistent and in line with regulatory and our client's standards
  • Oversee, effectively prioritize, and coordinate the preparation, tracking and management of forward agendas for various Lux-based committees/working groups
  • Senior Staff weekly meeting, Due Diligence meetings, CSFF requests and enquiries and adhoc forums such as Risk Committee, Branch Oversight, etc.
  •  Responsible for minuting and/or recordkeeping of required meetings, including senior staff meeting.
  • Advise on improvements for use of data and processes across the organization
  • Provide local support to the business to manage the relationships with the company’s key providers
  • Liaising and coordinating with teams inside and outside of Luxembourg to ensure consistency of information and documentation relevant to the COs and Lux management team


Job requirements


  • Minimum 5 year-experience in the Funds Industry, preferably within Asset Management environment;
  • University degree level background in Business Management, Finance, Economics;
  • Excellent communication skills, both verbal and written, and the ability to liaise with senior management, peers and other team members;
  • Excellent relationship building skills and strong management of stakeholders and their issues including timely escalation;
  • Fluency in English, both written and spoken;
  • Excellent analytical skills, with high sensitivity to details and quality;
  • Flexible and adaptable;
  • Committed team player with ability to work as part of a global team as well as autonomously;
  • Ability to meet deadlines, prioritise tasks and deliver results within given tight deadlines;
  • Good command of MS office applications suite.
  • Experience in reporting and development of Management Information would be a plus
  • Pro-active and with a problem solving mind;
