The Role Responsibilities
The Cash Program Senior PMO will be part of the Programme Management team across the Cash Discretionary & Regulatory portfolio, which in 2019 will amount to approx. $40m-$50m of project budget.

This role is key to the success of the program and critical in ensuring a well governed and proactively well organised and managed program, giving Program and Project managers the bandwidth to lead broader initiatives such as delivery efficiency and resolve issues that involve stakeholders, project resources, scheduling conflicts, dependencies, scope conflicts, funding issues, coordination, collaboration, motivation etc.



Our Ideal Candidate
The ideal candidate would be a dynamic person, very skilled and familiar with all aspects of program governance, administration, controls, and toolsets across its life cycle. They will have a very can do attitude, can work with a cross section of people, and immerse themselves in all aspects of program governance but at the same time understand the business context of the program and its deliverables and can communicate to stakeholders as required. They will be well organised with a structured approach to problem solving, organising and in leading people.

Whilst these are not comprehensive, some examples of key responsibilities are noted below:

Program Governance, Administration & Clarity Data Correctness
- Work closely with Program and Project Managers, the PMO office, other program PMOs and the Governance & Business Management teams on all aspects of Program governance and administration
- Support the project managers to drive project closures, project red packs, raise CR items to the CCB, manage the PED process, resource tracking etc.
- Ensure Clarity, the project information repository, is updated on a regular basis by self, Program and Project managers, review content periodically and alert to data quality issues driving to closure,
- Be aware of Clarity data update and extract dates from various committees and manage the necessary updates
- Regular collation of achievements to publish to wider audiences, coordinating with the communications manager.
- Ensure necessary project / program documentation is up to date as required by project management standards and stored in the appropriate PDR (project documentation repository).
- Ensure project / program is always audit ready and from time to time perform project QA reviews, following up to close out any actions because of these reviews or from actual audits.
- Help with business trip bookings, meetings, and workshops coordination, catering etc.

Governance Forums
- Produce high quality power point decks and other material as required from time to time for example for PgSC and PSCs in support of the program managers - ensure deck is good enough for review 5 days prior to PgSC/PSC
- Review PgSC and PSC materials for quality, comprehensiveness, and consistency. Alert where attention is needed and help to address.
- Support the portfolio or program managers to proactively ensure PRC, PgSC and PSC actions are being followed up and closed out

Overall Project / Program Tracking
- Produce periodic cross portfolio report dashboard/deck that include program, work stream and/or project level detail on upcoming milestones, financial forecasts, risks and issues, overdue items etc. This is to aid as material for regular program / portfolio level sessions in which they will also participate.
- Proactively keep an eye on and escalate overdue items, forecasting, governance, or other issues to program management

Financial Tracking and administration
- Support program managers with the appropriate data to enable them to make key decisions for example: performing financial analytics and forecasting to proactively identify issues - this includes resource utilisation, opex/capex splits and appropriateness, forecasts vs actuals, NMD accruals, pending invoices, other financial administrative matters, etc. helping to track these on a regular basis.
- Ensure that program status related queries from ePMO, PD, TB PMO and other senior stakeholders are attended to in a timely manner, taking input from program / project managers as necessary, but largely having the credibility to work unsupervised
- Perform administrative tasks in Clarity e.g. administer time booking, task allocation to resources, etc. Whilst these are not comprehensive, some examples of key responsibilities are noted below:
