Senior Billing Specialist, Officer
Global Billing Operations as a part of State Street's Finance Division is responsible for end to end client invoicing. Position requires Accounting knowledge and financial instruments in depth expertise. Employee within GBO organization is required to cooperate with both internal and external stakeholders and clients with special attention to risk excellence and full accountability for assigned tasks.

Senior Billing Specialist is responsible for all non people management related tasks supervision. He/She will also support Billing Team Manager and/or Senior Billing Team Manager in daily billing process, presentations, transitions, projects and other assignments related to billing process.

General duties related to this position will include:
  • Providing extensive knowledge support in Billing area for the team
  • Supporting Billing Team Manager in monitoring and reporting daily task completeness to Senior Billing Team Manager and/or Operations Manager
  • Ownership of identified issues and acting on solutions in cooperation with appropriate departments and SME's
  • Preparation of reports and information's on billing team performance for Senior Billing Management
  • Providing mentorship and support for less experienced billing team members
  • Being up to date with local and global initiatives and projects
  • Leading projects and identifying process changes needs
  • Presenting highest level of risk excellence and be an example of ethical behaviour for the team
  • Acting as team/department representative on various committees and working groups
  • Being first point of contact for opinions and expertise of internal process excellence initiatives
  • Supervising complex billing process performed by the team, act as an SME and technical support
  • Ownership of Billing process and identifying gaps, proposing process improvements and leading the change
  • Managing internal programs and requirements e.g. Business Controls, Compliance, Audit, etc.
  • Supporting Billing Team Manager in team development and hiring process
  • Other not specified duties might be assigned by direct manager accordingly to business needs and employee skills

Specific duties of this position will be connected to its Billing Back & Middle Office nature:
  • Internal communication (Validation of data and creation of invoices in cooperation with Client Relationship Management, Client Service and the servicing operation units) and external communication to client
  • Checking input volumes for quality insurance
  • Revenue Recognition (Accruals, Forecasts and Fee posting)
  • Maintenance / Upgrade of utilized IT Systems (Access database, Billing System MS Dynamics NAV)
  • Regular meetings / communication with business to discuss billable items
  • Generate and populate invoices to client
  • Manage any client inquiries towards invoices
  • Calculate estimates, reporting and data analysis
  • Oversight of outsourced activities
  • Payment tracking

  • Extensive knowledge of products in investment banking domain
  • At least 6 years of professional experience in financial accountancy, and/or billing and/or other relevant according to company's management assessment
  • Extensive knowledge of accounting processes with special focus on billing area
  • Proficiency in German and English written and spoken
  • Successfully completed Master degree in Accounting, Finance and/or Business Administration
  • Very good numerical and analytical skills
  • Project management skills
  • Ability to find solutions and solve issues within area of billing
  • Proven ability to work cooperatively and effectively with business and systems personnel
  • Pro-active approach, with initiative, detailed oriented and reliability
  • Experience in waterfall and/or agile mode of project implementation
