Role Purpose:

To provide a broad range of secretarial and administrative duties to the Global Head of HR for HSBC Securities Services (HSS) and the Head of HR for HSS Europe and their team. Liaise with other administrative and secretarial employees as appropriate. This position requires a high degree of initiative, judgement, discretion and planning and organisational skills in order to anticipate and initiate appropriate action to optimise the executives time.

Accountabilities:

Based in Edinburgh, but supporting the Global Head of HR who is based in Dublin, as well as the HR team in Edinburgh and London.

Perform a range of secretarial and administration duties including drafting correspondence and typing, maintaining a filing system and preparing presentations for internal and external use.

Coordinate a range of confidential information and data across the Global HSS Executive Committee and Global HSS HR team in a timely, accurate and efficient manner.

Manage email inbox and calendar/diary for Senior Manager.

Schedule and co-ordinate appointments and meetings. Make all necessary arrangements. Distribute information accordingly to other internal and external parties and participants as required.

Proactively prepare documentation in advance of meetings, briefings and events. For example, the role holder will be responsible for collating data and putting together packs for key meetings such as for the HSS Executive Committee and Global and Regional People committees

Attend meetings and take/distribute minutes as required.

Experience:

  • Strong previous Personal Assistant experience, preferably for a Senior Executive.
  • Proficiency with MS Office-Word, Excel, PowerPoint. Good knowledge of Microsoft applications and email.
  • High level of experience in diary/ meeting, travel and itinerary management.
  • Analytical - takes a logical approach to analysing problems, conducting research, organising work and planning action.
  • Proficiency with MS Office-Word, Excel, PowerPoint. Good knowledge of Microsoft applications and email.
