Senior Purchasing Operations Analyst - Broadlands Business Campus (Near Horsham)
Role Overview
We are building a brand new Purchasing and Payment capability in our Broadland Business Centre which will provide client focused, best in class support to stakeholders globally across the full cost lifecycle. This is an exciting opportunity join the Purchasing team and to help build it from the ground up.

You will be responsible for supporting the business in raising requisitions, onboarding invoices and matching them to Purchase Orders, inputting payments and reviewing expense claims.

You will become a subject matter experts in the end-to-end process and be responsible for the line management of a group of individuals within the team. You will act as an escalation point to ensure issues are resolved in a timely manner and support the Purchasing Manager in allocating resource to meet the teams competing demands.

The base
You'll be based at our Broadlands Business Campus near Horsham in West Sussex. It's home to our EMEA Operations and Technology Operations hub.

The team
The Purchasing team, along with Supply Chain Services, Payables and Reconciliations, form the new Broadlands Purchasing and Payment Service Centre, an efficient, best-in-class capability servicing Schroders offices globally.

The Purchasing team will be formed of c.10 people responsible for; (i) creation of requisitions, onboarding of invoices and matching invoices to POs; (ii) receiving, triaging and responding to queries sent to the broader Purchasing and Payments team by business users and suppliers; (iii) inputting non PO payments, auditing expense claims and performing supplier call backs. Individuals within the team will learn a variety of disciplines and move flexibly between them to meet business demand.

Purchasing will work closely with the Payables team to ensure payments to our employees, clients and suppliers are made on a timely basis.

What you'll do
• Line manage a pool of Purchasing Specialists. Ensure they have the appropriate skills and training to perform their jobs effectively. Provide high quality feedback on performance and encourage personal development.
• Manage resource pool to ensure appropriate allocation and flex to support changes in fluctuations in requirements
• Develop good understanding of key controls and policies and ensure they are implemented appropriately.
• Develop subject matter expertise on end to end process and support improvements.
• Assist the business in creating and issuing clean purchase orders in line with the service levels and authorisation levels, ensuring all checks and validations are performed (e.g. material variance, currency, correct entity, commercial terms, statement of works). Make amendments where appropriate.
• Review invoices sent to Schroders, ensure they're correctly onboarded to our system and matched correctly to a purchase order. Return to suppliers invoices provided without a PO.
• Liaise with business to validate Purchase Requisition details where queries may need addressing.
• Triage and respond to queries from both our suppliers and internal business partners. Act as point of escalation and ensure all queries and escalations are proactively managed to resolution with a focus on fixing the root cause.
• Deliver robust timely housekeeping routines around closing old open PO's, alongside the Cost Operations team.
• Review of employee expense claims to ensure policy compliance. Support credit card administration.
• Use of reporting and systems to support requestors, vendors and employees with R2P queries relating to pre-approval purchase requests, requisitions, purchase orders (PO) creation and/or amendment.
• Working collaboratively with broader P2P team to ensure high quality and efficient processing of invoices.
• Supporting the correct capture of supplier static data. Perform call backs to confirm bank details with new suppliers.
• Input of manual and bulk non PO payments batches for further processing by the Payables team.

The knowledge, experience and qualifications you need
• Experience providing first line support and stakeholder engagement.
• Experience of working within a operational team.
• Experience of Purchase Requisition creation and invoice matching.

The knowledge, experience and qualifications that will help
• Experience working in a regulated control environment.
• Experience of categories of spend and buying channels.
• Use and management of procurement systems (e.g. Oracle) AAT or equivalent qualification.
• Transactional buying and supplier negotiation.
• Finance or Accounting Qualification
• Additional languages, in particular German and French an advantage.
• Experience of ServiceNow, Arcivate and/or Oracle Fusion.
• Experience of Financial Services.
• People management experience.
