Executive Assistant
The Macquarie Asset Management Division is seeking a Team Assistant to provide dedicated support to our busy London team.

Your responsibilities will include, but not be limited to: calendar management, including booking multiple subsidiary board and committee meetings, managing conflicts and booking rooms/catering etc; compiling board packs (including in Diligent Board Books software); drafting certain documentation (based on templates), including notices of meetings; coordinating with the London team and our admin support team in Mumbai/Jacksonville for the completion of various tasks; and managing the document execution requests process for the team, including the arrangement of directors' signatures (physical or e-signing) on documents.

You will also be responsible for
  • team meeting admin including compiling the agenda and actions lists
  • project management of certain matters including annual accounts approvals and Companies House filings
  • coordination of documents required for company incorporations and KYC requests
  • co-ordination of / Processing purchase orders and invoices
  • processing monthly Amex / expense claims in Concur
  • new starters onboarding and leavers
  • dealing with technology orders
  • dealing with hard copy post
  • arranging couriers and the notarization and apostille of certain documents
  • assistance with preparation of documentation for the team including PowerPoint presentations and Board papers
  • travel management and bookings, including coordination of approval
  • scanning and saving / filing documents
  • ad-hoc projects.

To be successful in this role you will have at least 2 years work experience, within a fast-paced multi-tasking administrative role, coupled with: strong computer skills in MS Word, MS Excel, MS PowerPoint and MS Outlook; excellent attention to detail and organisational skills, including capturing and tracking multiple tasks assigned by different team members; ability to balance conflicting priorities; proactive and enthusiastic attitude, with the ability to anticipate needs of team members and act accordingly; ability to initiate and implement improvements in administrative processes; and good judgement & discretion on confidential matters.
