Who we're looking for The primary focus of the role will be to provide professional governance and administrative support, to the real estate team and a number of investment committees within the real estate business. There will also be opportunities to assist senior team members in ad hoc projects and more challenging pieces of work. The role would suit someone keen to develop their governance and real estate expertise within a financial services environment, who is enthusiastic and diligent, and who has a keen eye for detail and an eagerness to learn. An openness to new challenges is essential. The candidate would ideally be working towards completing their professional Governance exams.

Specifics of the role While you will be expected to be competent in minuting meetings from the outset, you will be provided with training and support from the wider Group Asset Management Governance team to enable you to do so in accordance with Group standards. For each Committee for which you are responsible you will: - Schedule meetings (in collaboration with the Committee members and internal team assistants). - Agree agenda items in consultation with the committee chair. - Collate Committee packs, collaborating with the business for circulation to all attendees. - Attend meetings and draft accurate and timely minutes. - Follow up on meeting action points. - Maintain accurate records for all meetings. - Act as point of contact for Committee members and internal and external advisers. - Enable, and monitor, compliance with relevant regulatory and statutory requirements (including statutory and regulatory filings). - Maintain Terms of Reference (TOR), and ensure meetings adhere to TOR requirements Own responsibility: - Maintain the authorised signatories framework for real estate regulated entities in the UK, in liaison with the Chief Operating Officer. - Arrange intranet and website updates. - Provide administration and project support to senior Real Estate management team, if required
The knowledge, experience and qualifications you need: - Studying for the Chartered Governance Institute qualification. - Some experience of attending and minuting board meetings. - Competent computer skills, with a strong knowledge of Word, Excel, Powerpoint and Outlook. - Experience of using Board Intelligence, Blueprint/Diligent Entities and Worksite would be an advantage but not a prerequisite. - Experience in financial services and/or real estate would be an advantage, but not a prerequisite. - Excellent communication skills. - Highly organised, able to prioritise and to deliver within strict deadlines. - Confident, with the (current or future) ability to hold the attention and respect of directors and senior management. - Able to work quickly and accurately under pressure with minimum supervision. - Analytical and highly disciplined. - Proactive and self-motivated. - An effective team player.
