Description:

This position will provide administrative support to 4-5 senior wealth management professionals. The role is highly visible; as such, the assistant will need to display exceptional attention to detail and strong interpersonal skills, as well as proficiency in organizing and managing multiple meeting calendars. It is a fast-paced environment that requires the ability to multi-task and to prioritize.  

Responsibilities:

Primary point of contact for 4-5 senior Wealth Strategies professionals in the Los Angeles office; provide coverage when other assistants are out of the office.

Manage very active meeting and travel calendars for multiple staff.  Arrange business travel, and day-to-day calendar changes including meetings with internal staff and external contacts.  Utilize the database for posting of meetings and online booking tools for travel, and other office systems. Assist with other projects, such as preparation of presentation materials.

Work collaboratively with other team administrative assistants to help assign meeting and speaking requests.

Handle expense reports in a timely manner (e.g., avoid late fees).

Requirements:

Bachelor’s degree from a 4-year institution  

2-3 years’ experience providing administrative support to senior management

Proficiency in Microsoft Office, Excel, Word, PowerPoint

Highly organized and motivated; must have great attention to detail

Strong time management skills

Ability to deliver assignments accurately and on a timely basis

Solid interpersonal and communication skills

Candidate will work with individuals at all levels, both within the firm and with external partners
