Job Description:

The Global Mobility Associate provides operational support to the Global Mobility function, enabling the team to deliver solutions to clients seamlessly across all relocation programs. This position provides provides coordination support in the execution of international assignments for current employees and partners, as well as new hire candidates. The role coordinates and interacts with HR, finance teams (payroll, accounts payable, and accounting), tax and immigration, as well as the firm’s external vendors in the execution of international assignments and relocation at the international level.

The Global Mobility Associate is a key member of the Global Mobility team in ensuring the required steps of the mobility process are executed with excellence, as well as support of firmwide mobility goals and objectives.

Core Responsibilities:

Primary contact for international assignment programs inbound and outbound from the U.S.

Prepare and review international assignment approval forms, cost estimates, assignment letters and cost sharing agreements for international assignment programmatic related assignments

Collaborate with Global Mobility leadership regarding the sharing of information across internal departments and external vendors, ensuring seamless and accurate execution

Collaborate with Global Mobility leadership to support Grant Thornton employees relocating internationally, including providing employees with assignment process information, benefits details, etc..

Primary contact with internal finance teams to field international assignment related queries

Collaborate with internal finance teams in regards to the set up of international assignees to ensure compliance

Coordinate with member firm network to gather assignment candidate application documentation

Oversee preparation and maintenance of program activity tracking and reporting including metrics and trends

Collaborate with internal stakeholders and partners (e.g., Payroll, Tax, Accounting, HR, etc.), as well as the member firm network to support Grant Thornton employees and ensure compliance with regulatory obligations for the firm and execution of policies per established protocols

Oversee the I-9 completion process for relocating employees – review I-9 for accuracy

Oversee I-9 reverification process utilizing electronic I-9 system and tracking technology

Oversee the immigration process for our international relocating employees

Support with business visa requests inbound and outbound from the U.S., as well as request for travel letters, cross-border support

Review the protocol and processes of embedded HR and recruiting professionals to ensure alignment with global mobility protocols and procedures

Provide training and support to embedded HR and recruiting professionals for the successful support of relocating employees

Prepare and maintain new mobility oriented protocols and templates as required

Prepare and maintain template email correspondence and internal tool-kits for circulation and use by HR and Recruiting professionals

Closely coordinate with immigration legal counsel to ensure that any missing items are timely provided to legal counsel and/or other stakeholders

Ensure timely reviews of expatriate compensation are conducted (e.g., COLA, Housing, STAA, etc.); collect update information from compensation vendors, as needed

Monitor and forward, as necessary, regular reporting (data analytics) through the team’s mobility tracking technology (via relocation management company)

Monitor the progress of an international assignment, coordinate with involved parties to keep the move progressing forward

Validate billing agreements, as needed, with member firms

Collaborate with internal stakeholders and partners (e.g., Payroll, Tax, Accounting, HR, etc.), as well as the member firm network to support Grant Thornton employees and ensure compliance with regulatory obligations for the firm and execution of policies per established protocols

Maintain and update current mobility program materials and web content

Support all aspects of the international assignment lifecycle for the India to U.S. international assignment program, including cost estimates and approvals, assignment letters, hosting orientations, travel, and program management

Work closely with immigration team on the management of the visa process for relocating employees from India to the U.S. and the U.S. to India

Coordinate with third party vendors; initiate provision of new services, coordinate approvals, troubleshoot issues regarding invoicing

Support the year-end income reporting and tax assistance processes

Support the year-end performance and compensation review process

Maintain current program specific mobility materials and web content

Cross-train and support other Global Mobility roles

Perform special projects as assigned

Assist with mobility-related initiatives and program enhancements

Exercise judgment and escalate issues when appropriate

Qualifications

Qualifications (Personal Characteristics, Skills/Abilities, Academic) – The ideal candidate will be:

A business-minded HR/Talent professional with experience supporting general HR roles and/or exposure to relocation and/or immigration programs, with demonstrated ability to thrive in a culture that is collaborative, service-oriented, and consultative

Highly detailed oriented, data driven, and customer-focused, with ability to solve problems and develop solutions

A strong team player with the ability to build good relationships with key stakeholders

Credible, adaptable, and someone who demonstrates strong initiative and ownership

Highly professional, results driven, with strong desire to continue learning to broaden knowledge, insight and perspective

Experienced in prioritization, with demonstrated ability to be effective in supporting multiple business leaders working across different business units

Collaborative and action-oriented, with ability to react positively and quickly to sudden and unpredictable change

The Ideal Candidate Will Possess:

Bachelor’s degree

Past experience functioning as an HR/Talent Coordinator/Associate and/or working with Global Mobility programs, preferably within consulting or professional services environment

Proven ability to consistently and positively contribute in a high-paced environment

Experience with U.S. business immigration work preferred – non-immigrant/temporary

A reputation for discretion, integrity, judgment, responsiveness, strong attention to detail and common sense

Solid PC skills with proficiency in MS Office including Word, Excel, and PowerPoint

Comfort with ambiguity; ability to use sound judgment to drive competing issues to resolution

Demonstrated flexibility working in a dynamic and rapidly changing organization

Strong written, listening and verbal communication skills, including the ability to empathize with employees

Knowledge of and sensitivity to country norms, global cultures and practices

A highly motivated self-starter, able to work with minimal supervision
