Office/Project Manager - Fidelity Corporate Actions Solutions

The Fidelity Corporate Actions Solutions (FCAS) Office Manager will support the FCAS senior leadership team and associates to ensure a high level of organizational effectiveness, communication, and project support. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

The ability to multitask and navigate a fast paced business environment is very important for this role, as are excellent communications skills and strong knowledge of key business tools including, MS Word, MS Excel and MS PowerPoint. We are seeking someone who is energetic with executive presence and strong communication skills, willing to learn, and eager to contribute to a growing business.

The Expertise We're Looking For

  • A bachelor's degree
  • 2 - 4 years of work experience in an office manager, project management or customer service role
  • Fidelity industry experience is strongly preferred
  • Corporate Actions knowledge a plus

The Value You Deliver

Manage the day-to-day activities of the office ensuring a well-organized environment for each of the business teams to operate in. Coordinate cross organizational intitiatives to drive continuous improvement in our associates and customers experience. Areas of for this role include:
  • Administrative support: provide limited administrative support to executive level leadership by coordinating complex meeting schedules, travel planning and expense processing. Provide broad administrative support by ensuring appropriate levels of office supplies are available for each of the teams to complete their responsibilities.
  • Program management: lead cross organizational initiative to drive continuous improvement in processes, employee engagement and overall client experience. Ongoing initiatives include but not limited to; site planning, employee satisfaction survey, annual budget planning, Company All-hands planning, Business Continuity Planning and other initiatives as assigned.
  • Management reporting: manage monthly and quarterly KPI reporting process across all business groups to generate a comprehensive consolidated view of performance across the organization.
  • Compliance management: act as compliance coordinator on behalf of the department ensuring awareness of and proper execution of labeling, distributing and filing documents / materials based on Fidelity standards.
  • Client experience : support the Client Experience and Sales / Marketing teams through coordination and maintenance of client materials, organizing client meetings and events, ongoing distribution of client communications.
  • Other Support: assist all business units with the ongoing responsibilities of the running their day to day processes by acting as a liaison with other Fidelity groups such as legal, facilities, catering, human resources and new employee onboarding
