Firm-wide Sourcing: Supplier Diversity Analyst

The Firmwide Sourcing Group is responsible for the sourcing of all Non-IT, IT and Professional Services related commodities, which also includes a Firmwide initiative known as Supplier Diversity.

Morgan Stanley's Supplier Diversity Program, is an important part of the Firm's Diversity & Sourcing initiatives. We recognize that equal access and equal opportunity, along with diversity in our business processes is an important part of doing business. As such, the Firm is committed to supplier diversity which provides diverse owned businesses (defined as at least 51% owned, controlled and operated by minorities, women or veterans) with an opportunity to bid on and participate in direct contracting with the Firm.

The qualified candidate will be responsible for supporting the Executive Director, Global Head of Supplier Diversity. The candidate will be required to support the program by conducting various tasks such as:
Supplier Diversity Program Core Responsibilities:

  • Manage the Morgan Stanley Supplier Diversity Database (controlled by a third party supplier), which includes:
    • Supplier Registration
    • Extracting Reports
    • Training Sourcing Managers and others on the database
  • Act as a liaison between diverse suppliers & Sourcing Managers and conduct Supplier Diversity pre-screening meetings
  • Manage the on-going communications to diverse suppliers
  • Assist with 2 nd Tier reporting (finding potential primary suppliers non-diverse owned for 2 nd Tier quarterly spend reports)
  • Create a listing of diverse suppliers by commodity from database when needed to share with Sourcing Managers
  • Track metrics on the following items:
    • Number of diverse supplier meetings (in person and over the phone) per month
    • Number of suppliers recommended to Sourcing Managers per month
    • Number of Sourcing Managers meetings per month (and results)
    • List of Sourcing Managers trained on the database per month
    • List of diverse suppliers that are included in RFPs through Supplier Diversity Program efforts
    • List of diverse suppliers that are awarded RFPs through Supplier Diversity Program efforts
  • Assist when needed with responding to surveys related to the Supplier Diversity Program interacting with HR and various internal groups
  • Assist with event planning and maintain supplier contact information from networking events
  • Back up Executive Director when out of office
  • Conduct on-going meetings with Sourcing Managers to
    • Discover potential opportunities to engage new suppliers
    • Share information on diverse suppliers that meet criteria for Sourcing Managers' upcoming RFPs
  • Assist with mentoring program, providing additional guidance to suppliers to help them with the Sourcing process
  • Conduct due diligence process with potential diverse suppliers for bidding opportunities
  • Coordinate meetings with diverse suppliers
  • Attend local diversity related events (daytime & evening events)

In addition to the above responsibilities the candidate will provide support in the following areas:
Global Compliance Initiative :
Assist with global compliance initiative, responsibilities entail:
  • Attend bi-weekly conference calls & capture meeting minutes
  • Maintain supplier listing of global supply chain, which includes supplier company name, contacts, spend data, commodity type and region
  • Assist with creating supplier surveys and tracking results
  • Schedule meetings and outline agenda for distribution
  • Assist with drafting compliance documentation and training materials
  • Track and organize all hardcopy and soft copy files of all information for auditing purposes
Some Sourcing experience is a plus but not mandatory. If individual has Sourcing experience, it would be helpful:
Category: Multimedia - Event Production Services, responsibilities entail:
  • Assisting in creating Request for Proposals (RFP) in electronic system and completing analysis of bid responses
  • Handling small contracts
  • Preparing paperwork for contract execution
  • Following up with suppliers and business units
  • Completing due diligence work example: prequalification of suppliers and completing reference checks
  • Coordinating meetings with suppliers

  • Excellent data management skills
  • Excellent computer skills - advance level Excel, Microsoft Word and Knowledge of PowerPoint a plus
  • Able to work individually with little direction as well as in a team environment
  • Ability to multi-task in a fast pace environment
  • Excellent communication skills including strong written and verbal skills. Also the ability to present information clearly when needed
  • Good interpersonal skills - can interact well with people of all levels
  • The ability to learn quickly
  • The ability to meet and interact with suppliers frequently
  • Working knowledge of the Ariba sourcing system is preferred but not required
