The position is a key member of the Operations team with specific responsibility for the processing and management of grants as well as information and reporting system management.

Key responsibilities include but are not limited to:
Grants Administration
  • Perform due diligence and completeness review of grant applications and liaise with grant applicants, Foundation program officers and Citi colleagues worldwide to ensure grants meet Foundation requirements
  • Ensure all grant reviews and approvals are conducted and initiate and administer payment process
  • Ensure timely receipt and conduct detailed review of grantee reports and grant modifications
  • Identify and flag any organizational or request related concerns or issues, as appropriate
  • Respond to Foundation related and grant specific inquiries from grantees and Citi colleagues
  • Assist in outlining, documenting, and implementing Foundation policies and procedures
  • Drive process improvements and efficiency of grants administration processes
  • Create and provide system and grant process training to grant applicants and Citi colleagues as needed
  • Manage grant applications, guidelines, reports and grant related materials in collaboration with program staff
  • Prepare approved grants for Community Reinvestment Act (CRA) verification

    Information and Database System Management
  • Manage Grant Management system (FLUXX) user experience, ensuring top notch experience for all internal and external users (including customer service, technical support, and problem resolution)
  • Build and maintain database forms/applications and functionality
  • Prepare and provide data for external benchmarking surveys, assist in ad hoc reporting, and run regular efficiency metrics for internal and external purposes
  • Ensure data quality assurance process is in place and regularly completed
  • Determine business requirements/enhancement needs by proactively collecting user feedback and translating those needs to appropriate system and workflow improvements


  • Bachelor's degree
  • 3+ years of related work experience, non-profit or Foundation experience preferred
  • Excellent project management and problem solving skills
  • Highly proficient in Excel and data analysis skills
  • Knowledge in Fluxx or other grants management software a plus
  • Ability to gain a strong command of new systems
  • Excellent written and verbal communication skills
  • Must be able to work well in a fast-paced environment, be a team player, take direction, and have a keen ability to prioritize
  • Must be detail oriented and organized
  • Good customer service skills
