The Service Processing Coordinator provides support to the client by conducting specific service activities (and direct client support. S/he supports the services team leaders (generally in assurance and tax) in managing the business functions and growth through marketing activities.

Internal Support:

  • Proactively support team leader in managing one of the following services: tax, bizops and/or assurance practices.
  • Review and analyze documents, identify solutions and assist when needed to support additional tea members
  • Support multiple service lines to ensure processing, facilitating, tracking, reporting, etc.
  • Must be adaptable, meet timelines / deadlines, flexible and team oriented
  • Must be organized, detail oriented; other activities may be assigned

Tax:

  • Accountable for one or more various responsibilities relating to the tax process including preparing and mailing tax organizers
  • Responsible for organizing and scanning client documents
  • Accountable for assembling final tax returns and preparing extensions
  • Help support and manager client deadlines and all reporting through GoFileRoom and CCH ProSystemFx.
  • Proactively manage database and workflow systems to ensure accurate maintenance of client data.
  • Responsible for tracking and managing all tax eFile deadlines for the local office
  • E-file form management, ensuring all forms are collected and processed in a timely manner
  • Ensuring all forms are collected and processed timely, and proactively engaging office team members to assist with peak filing deadlines
  • Organize, scan and source client documents. Support and provide back up to other internal operations team during peak busy seasons, and as needed
  • Provide completed returns and instructions to client for completing workflow process
  • Ensure the collection of authorization forms (8879) from clients before tax returns are released.
  • Respond to client needs on behalf of tax team as needed to assist in time and workflow management.
  • May have accountabilities across other internal operations roles

Assurance:

  • Responsible for forward binders in ProFx
  • Roll-forward audit worksheet for common audit areas with roll-forward data
  • Manage sending final adjustments and trial balances to the client. Ensures clients internal financial statements ties to our final audit
  • Update board presentations in PowerPoint for audits and proposals
  • Prepares client engagement letters, reports and other letters upon request
  • Coordinates internal/external meetings and supports monthly industry reporting

Outsourcing:

  • Assists with drafting monthly bills for principal review
  • Coordinating CRM tracking for business development
  • Other duties assigned, etc.

Minimum experience required

  • 3 or more years of related experience
  • Professional services industry experience, a plus
  • High school degree or equivalent. Associate or Bachelor's degree, a plus
  • Computer skills; knowledgeable in excel, XCM, and audit (highly preferred)
